Scanning Of Maps And Plans
The State Records Office now offers a digital scanning service for clients wishing to obtain quality copies of oversized materials. At present scanning is only available for maps and plans, although arrangements can be made with staff to scan other oversized documents. Clients should consult with State Records Office staff to determine whether a particular item is suitable for scanning.
To obtain a scanned image, clients must complete an order form (available from the Search Room Enquiry Desk), identifying the items they wish to have scanned. When completing the form it is necessary to specify the preferred image format, either as a .jpg or .tif file. Other formats are available on request.
Images are only available on Compact Disc (CD-R), due to the large file sizes of the scans.
The cost for scanning items is $7.70 per image for colour scans and $3.30 per image for black and white scans, plus $2 for the cost of the CD (prices include GST). Copies from scans available in the Search Room may be made for a cost of $2.20 per image.
Approximately 10 working days should be allowed for the processing and scanning of the images.

Physical Condition of the Item
In order to ensure the safety of the materials to be scanned, the physical condition of all items must be considered before permission is given. Scanning will not be permitted if there is a risk that it may damage the records.

Scanning Restricted Material
The scanning of restricted access material held by the State Records Office is permitted under certain conditions as detailed by the agency providing access.
