Conditions For The Use Of Archival Records

 

Research Ticket

 

A current Research Ticket or slip must be issued to a researcher before access to State Records Office material will be granted. The ticket will be issued to researchers on their first visit to the State Records Office Search Room. It is not transferable, and must be shown to staff each time records are received.

Restricted access

 

If access to any records is restricted this will be noted in the finding aids. Staff will advise researchers of the appropriate access application procedure.

Retrievals

 

A call slip must be completed for each item (including volumes and part files). The call slip should be completed in full or delays may occur in retrieval. There is a general limit of five items per retrieval per researcher and ten items per offsite retrieval.

Conditions of use

 

Researchers are asked to respect the physical integrity of the records while handling them. These records are unique and cannot be replaced. Failure to comply with these conditions may result in access to records being withdrawn.

Researchers agree to protect the privacy of individuals by judiciously using information located in the records held by the State Records Office.

 

Copying

 

Copying of material is allowed under the private study and research provisions of the Copyright Act. Copying, other than photographic copies, may only be done by staff. In doing any copying the physical integrity of the record is the primary consideration.

End of use

 

When researchers have no further use for the records, the records should be handed to a staff member. The yellow slip, marked "Finished" or with the name on the tag end scored through, should be returned with the item.

REMEMBER: YOU MUST USE PENCIL. COPYING IS LIMITED.

THESE RECORDS ARE HELD IN TRUST FOR FUTURE GENERATIONS. YOUR CARE WILL ENSURE THEIR CONTINUED PRESERVATION.
